The child care billing process at your daycare, preschool, or after school program can be a complicated and time-consuming operation. With staff looking after kids and planning lessons, and busy parents running out the door, it is easy to lose track of billable care hours for each student and any additional fees that may be accrued.
It can even be a challenge to track down parents and guardians to collect their checks or payments. However, having a consistent cash flow is key to running a successful business, which means that no matter what, the time has to be made to organize and collect payments from parents.
In this guide, we’ll go over how to properly manage billing and payments for child care center owners. With the Billing module, you can easily manage Billing, generating Invoices, Payments, receipts, send reminders to parents, and track all the payments and receivables.
Overview:
The Billing Module overview provides a snapshot of the Finances at each of your locations. It allows you to search for transactions for a specific date or by filtering out a specific location, class, family, or child. It also gives you an overview of the Opening balance, the total amount received, the total billed amount, the total due amount, and the Total Overdue today; all during the period mentioned in the search criteria. By default, it is set from the beginning of the current month to the current date.
View Statements
You can check the statement of a Child or Family, click on the Family module. Under the Family, module click on the family and then click on the Statement tab
The statement tab will display the Beginning Balance and Statement Ending balance.
You can also use this tab to see a statement between specific dates.
