System Access

Access to all the user and user profiles and user logs.

This feature lets the user have access to all the user and user groups. You can give access to the Bypass TimeSheet, forward email, etc.

There are 3 Tabs under System Access:

  • Users

  • User Profiles

  • User Logs

I. Users

  1. Click on the System Access tab under the Security Module.

  2. Search the specific user from the drop-down menu options of User name, First name, last name, email, ID, Status.

  3. The results will be displayed below.

  4. Select the user from the results displayed. There will be three options displayed on the right of the screen.

a. Details: The details display the username, first name, last name, phone number, email Id, Status, Roles, and Locations. You can make the necessary changes here. The Password reset can also be done from this Option.

b. User Photo: The photo or display picture for the user can be set up by clicking on the default picture and uploading a picture of the user.

c. Access Overview: The access for this user can be given from this option. You can give access to Forwarding emails, email headers and Timesheet Bypass as per requirement. Once done, click on apply.

II. User Profiles

The User Profile is the next Tab under System Access. With the help of this feature, you can create new User Roles as well as create new Modules. You can also assign different modules specific to each user role.

Steps:

  1. Under the Security Module, click on the System Access tab. Then click on the User Profiles Heading.

  2. To create a new User Roles, Click on the “+” symbol next to the Create New User Role. Once u see a pop-up screen, enter the name of the new User Role and click on Save. The new User Role would be displayed under User Roles. We know that many types of employees work in a childcare center, so we have created the following default user types with specific permissions:

  • Owners (for Owners and Executives – multisite and single site)

  • Operations (for Managers of a region or group of sites)

  • Administrators (for accountants, analysts and administrators)

  • Directors (for Directors, Program Advisors, and Assistant Directors)

  • Educators (for educators, teacher assistants, supply staff and others)

  • Staff (for non-teaching staff)

  • Parents (for parents and guardians)

  • Family (for extended family members such as grandparents)

  1. To activate this User Role, simply click on the Activate/Deactivate symbol next to the User Role. The Green Tick symbolizes the User Role is now Active.

  2. To create a new Module, Click on the “+” symbol next to the Create Modules. Once u see a pop-up screen, enter the name of the new Module and click on Save. The new Module would be displayed under Modules Heading.

  3. To activate this Module, simply click on the Activate/Deactivate symbol next to the Module. The Green Tick symbolizes the Module is now Active.

  4. You can also activate or deactivate the different modules as per the requirement of the User Role.

  5. To activate the different Modules for a specific User, simply click on the specified user role and then under the Modules heading, activate the Modules for this Specific User Role.

III. User Logs

User Log is a file that records every event that occurs on the Portal. Events like Logins, Emulation, addition, deletion, etc. With the help of this Log, you can know the name of the user, the time stamp and the activity of the event.
